A Guide to the changes - New VAT rules that take effect 1st January 2010...


You should have already been made aware by HM Revenue and Customs that the VAT rules change with regards to Inter-European Trading as of the 1st January 2010. There are two main changes that affect you and that you should be aware of:

Supply of Services are now to be treated as the same as Supply of Goods and will need to appear on an EC Sales List provided to HM Customs and the VAT office.

Responsibility for VAT is now the customers responsibility - This means that there will be no VAT charged to EU Clients, even if they are VAT registered. Values will however still need to be accounted for which we have made provisions for in the new changes.

What has changed in Reynard and FreightFax4?

Changes have been made to the Vixsoft accounting modules to accommodate the changes laid out by HM Revenue and Customs. The changes implemented in the current release of the software will take effect as soon as a Sales or Purchase Period is in January 2010.

You should receive an update CD in the next few days with the relevant changes on. If you have not received this disc, please report this to support@vixsoft.co.uk and we will ensure one is shipped to you as soon as possible.


System Maintenance Changes...



Main Menu > System Maintenance (SY) > Company File Maintenance (1)


The VAT Registration Number has been broken down into Registration Number and Subsidiary ID shown on right


Sales Ledger Changes…

Main Menu > Sales Ledger (SL) > Post Invoices (2)


VAT will not be calculated for EU clients. VAT Codes are to be entered as normal but no VAT will be calculated on EU clients. The “Supply” field (next to the VAT Code field) now accepts:

‘Y’ for Supply of goods
‘N’ for not goods (but a supply of services)
‘T’ for Triangulation.

 


Other Sales Ledger Changes…

For report purposes VAT code 0-6 when used with EU clients will be displayed on reports and Analysis History as VAT code 20-26 for example VAT code 0 will be displayed as VAT code 20, VAT code 1 will be displayed as VAT code 21 etc.

The EU Sales list has been enhanced to help indicate the information needed for a manual EC Sales list and an output to “csv” (comer separated value) has been introduced for electronic transfer.

The EC Sales list will only show VAT Registered EU Client.

 


IMPORTANT NOTE:

You must ensure each client has the correct VAT Registration number entered in the Customer Maintenance File and that the Customer Type is set correctly. EU clients that do not have VAT details or the Customer Type set to European Commuity will NOT appear in the EU sales list.

Failure to ensure these details are correct could result in fines.

You can enter the details in:

Main Menu > Sales Ledger (SL) > Customer Maintenance (1)


The parameter file now has a field for the default value of ECSL Contact. This can be done from:
Main Menu > Sales Ledger (SL) > Parameter Maintenance (99)


Invoicing Changes...


VAT Codes are entered as normal but for report purposes VAT code 0-6 when used with EU clients will be displayed on reports and Analysis History as VAT code 20-26 for example VAT code 0 will be displayed as VAT code 20, VAT code 1 will be displayed as VAT code 21 etc.

In order to automatically fill the ‘Supply’ field correctly, an extra field has been added to Job Accounting services (edit in: Main Menu > File Maintenance (FM) > Services Maintenance (15) > field marked 'Supply') . This field may be populated with the desired value (Y, N or T) and will be activated when this service is used on an invoice for an EU Client.


Purchase Ledger...

VAT Codes are entered as normal but for report purposes VAT code 0-6 when used with EU clients will be displayed on reports and Analysis History as VAT code 20-26 for example VAT code 0 will be displayed as VAT code 20, VAT code 1 will be displayed as VAT code 21 etc.

No VAT will be expected from EU Suppliers.
